The Vyoma Booking Process, Start to Finish

From your first consultation to securing your date, exactly how we work, and why every step exists to protect your celebration.

Booking your entertainment should feel like a relief, not another item on an already long list. Below is exactly how we work, from the first message you send us to the moment your date is secured. There are no surprises here by design. Every step exists to protect your celebration and to make the whole thing feel effortless on your side.

Step one: the conversation

It starts with a conversation, and it costs nothing. You tell us about your event, your functions, your guest list, the feeling you are after, and the things you are worried about. We listen more than we talk.

By the end of that first consultation we understand your day well enough to recommend the right production for it. Not the biggest package we can sell you, the right one. Sometimes that means suggesting less than you expected. We would rather earn your trust than pad an invoice.

Step two: the proposal

A few days later you receive a proposal written specifically for your event. It lays out the services we recommend, what each one includes, and a clear price with nothing hidden underneath it.

Read it at your own pace. Ask us anything. If you want to add an idea, remove something, or rework the whole approach, we do that gladly. The proposal is a starting point for a plan we build together, not a take it or leave it document.

Step three: the contract

Once the proposal feels right, we send a straightforward agreement. It sets out precisely what we will deliver, when we will arrive, how long we will play, and every detail we have discussed, so both sides know exactly what has been promised.

We use e-signatures, so signing takes a minute from your phone. No printing, no scanning, no chasing paper across two families.

Step four: the retainer

A signed contract and a retainer together secure your date. This is the part couples most often underestimate, so it is worth being clear.

Good entertainment books out early, especially for popular weekends in wedding season. We only ever hold one event per team per day, because you deserve our full attention and our full energy, not a rushed second booking. Until the retainer is paid, your date stays open to everyone. The moment it is paid, it is yours, and we begin planning in earnest.

Step five: planning, made genuinely easy

This is where the relationship really begins. Every client receives access to our private planning suite, where you build your event timeline moment by moment, manage your must play and do not play lists, and connect songs from Spotify, YouTube, or anywhere else. You can leave notes and announcements for the DJ, and attach any planning documents you have already prepared.

If you would rather not touch a screen, that is fine too. We do the thinking either way, coordinate with you and your planner, and put one of our own on site to run the night.

Why the order matters

Every step here removes a worry rather than adding one. The consultation makes sure we understand you. The proposal makes sure you understand us. The contract protects you. The retainer protects your date. And the planning suite makes sure that when the day arrives, nothing is left to chance and nothing is left on your plate.
